Red Shoe Walk Terms and Conditions

Participation

  1. Participants must pay the relevant non-refundable registration fee to take part in the Event. Places are personal to each participant and cannot be transferred, sold or used by anyone else. 

  1. The Event has no minimum age restriction; however, all participants (including children) must be registered in advance. 

  1. Participants aged 0 to 15 (inclusive) on the day of the Event must be registered by a parent or legal guardian and must be accompanied at all times by a responsible adult aged 18 or over. 

  1. Parents and guardians are responsible for the wellbeing and supervision of any children on their booking. By registering a child, you confirm that you understand the Event is a physical challenge and that the child is able to take part. 

  1. Participants must register in advance. Registrations will close at midnight on Tuesday 28th July, or earlier if capacity is reached. 

  1. We reserve the right to refuse entry, withdraw or cancel a participant’s place at any time if we reasonably believe that participation may pose a risk to health and safety, or where these Terms are breached. 

  1. We reserve the right to cancel, postpone, or make changes to the Event (including route, timings or format) due to circumstances beyond our reasonable control or where necessary for safety or operational reasons. In the event of cancellation where the Event cannot be rearranged, a full refund of the registration fee will be offered. 

 

Unable to Continue / End of Event

  1. The finish line will close at midday. Any participant who has not completed the Event by this time and chooses to continue does so entirely at their own risk. 

  2. Participants who choose to leave or finish the walk before completing the full route do so at their own risk. 

  3. In both cases above, participants acknowledge that they are no longer participating in an organised event and that we accept no responsibility for their safety beyond this point. 

Health, Safety, & Medical

  1. You are responsible for ensuring that you, and any individuals registered under your booking, are sufficiently fit, healthy and capable of taking part in the Event. 

  2. If you are in any doubt about your physical ability to participate, you should seek advice from a qualified medical professional prior to the Event. 

  3. By taking part, you acknowledge that the Event involves physical activity and carries inherent risks, including the risk of injury. Participation is undertaken at your own risk. 

  4. You agree that you are responsible for monitoring your own physical condition before and during the Event and for deciding whether to continue. 

  5. Participants must declare any relevant medical conditions, medication or other information that may be required in the event of an emergency. This can be done via the registration form or by contacting the fundraising team in advance. 

  6. The Event is non-competitive and running is not permitted. 

  7. We will take all reasonable steps to minimise risk and have appropriate risk assessments in place. However, you acknowledge that not all risks can be eliminated and that conditions beyond our control may arise. 

  8. Marshals may be present at certain points (including road crossings) to guide participants. Marshals are not responsible for stopping traffic or directing when it is safe to cross. Participants are responsible for their own safety and that of any dependents. 

  9. Participants must wear appropriate clothing and footwear suitable for the nature of the Event, weather conditions and terrain. 

  10. Participants are responsible for providing their own water, sun protection and any other personal requirements. 

Conduct

  1. All participants and supporters must follow these Terms and comply with all instructions given by our staff, volunteers, contractors, police or emergency services at all times. 

  2. All individuals taking part in the Event must be registered participants. 

  3. Participants are expected to behave responsibly and respectfully towards other participants, event staff, volunteers and members of the public. 

  4. Participants must dispose of waste appropriately using designated facilities. 

  5. Smoking (including e-cigarettes) and the consumption of alcohol during the Event are strongly discouraged. We reserve the right to refuse participation or remove any individual who appears to be under the influence of alcohol or drugs, or whose behaviour poses a risk to safety, causes offence, or may damage the reputation of the charity. 

  6. We reserve the right to refuse entry to or remove any participant from the Event if: 

  • they fail to follow instructions; 

  • their behaviour poses a risk to themselves or others; 

  • they act in a way likely to cause damage, disruption or offence; or 

  • they are deemed unfit to participate. 

Fundraising

  1. The Event is a fundraising activity. Participants are encouraged to raise sponsorship with a suggested target of £50 (excluding Gift Aid), where possible. 

  2. Children under 18 using fundraising platforms must do so under the supervision and with the consent of a responsible adult. 

  3. Participants must not collect donations from the public along the walking route. We encourage all donations to be made online via your fundraising page wherever possible. 

  4. Any cash donations should be delivered to the Sheffield Hospitals Charity office (Leah's Yard, 20 Cambridge St, Sheffield City Centre, Sheffield S1 4HP). Please contact the charity in advance by phone 0114 700 4430 or email charity@shct.nhs.uk to arrange a suitable time for drop-off. If you are unable to deliver your donation, please get in touch with the charity team to discuss alternative arrangements. 

  5. Please note that cash donations handed in at the Event cannot be attributed to individual participants and will be added to the general event fundraising total. 

  6. Participants can add offline donations to their fundraising total by updating their JustGiving page using the guidance available here: https://help.justgiving.com/hc/en-us/articles/200669531-How-do-I-add-money-that-I-ve-raised-offline 

  7. Funds raised will support dementia care initiatives funded by Sheffield Hospitals Charity. 

  8. Participants must comply with all fundraising guidance provided by us and adhere to the Code of Fundraising Practice issued by the Fundraising Regulator. 

Fundraising Prize Draw

  1. The Prize Draw will end at 23:59 on 2 August 2026 and winners will be drawn on 5 August 2026. Winners will be contacted by 5pm on this day.  

  2. You must be over 18 to enter this prize draw. 

  3. There are five individual prizes of £100 Meadowhall Shopping Centre vouchers to be won.  

  4. A free entry route is available by emailing charity@shct.nhs.uk with your full name and contact details before 23:59 on 2 August 2026. 

  5. Only one entry per person will be accepted, regardless of entry method. 

  6. Entries received after the closing date will not be included. 

  7. Any fundraiser raising above £100 (excluding gift aid) using the JustGiving platform will be automatically entered into a prize draw for a gift card with the value of £100 

  8. Only fundraisers using JustGiving platform will be entered into the draw.  

  9. Of those raising funds above £100 (excluding gift aid), winners will be selected at random and contacted using the details provided at registration and linked to your just giving page.  

  10. The Prize Draw will end on Sunday 2nd August and winners will be drawn on Monday 3rd August. Winners will be contacted by 5pm on this day.  

  11. The Prize will be one £100 prize voucher for Meadowhall Shopping Centre. Prizes are non-transferable and no cash alternative is available. 

  12. If a winner does not respond within 28 days, we reserve the right to select an alternative winner. 

  13. Prizes will be delivered to your registered address up to 56 days after the event, or 28 days after successful notice of winning. Proof of identity may be required. 

  14. We reserve the right to amend or withdraw the prize draw where necessary. 

Personal Data

  1. We will process personal data in accordance with applicable data protection laws. Further information is available in our privacy policy. 

  2. We will need to use your information to administer the Event and contact you regarding your participation and fundraising. 

  3. Where permitted by law, we may also contact you about our work, events and fundraising activities. In these areas (unrelated to the Event), you will be given the opportunity to opt out of receiving such communications at the point of registration and in all subsequent communications.  

  4. Where necessary for safety and event management, relevant information may be shared with event partners, medical providers or emergency services. 

  5. Participants may opt in to receive communications from Meadowhall. Any such communications will be handled in accordance with Meadowhall’s privacy policy. 

Film and Photography

  1. Photographs and video footage may be taken during the Event for promotional and marketing purposes. 

  2. By taking part, you consent to the use of your image in such materials. If you do not wish to be photographed or filmed, please inform a member of staff on the day of the Event. 

Discounts

  1. Exclusive discounts may be available to participants at selected Meadowhall retailers on the day of the Event. 

  2. Discounts are subject to availability, retailer terms and conditions, and may be limited. 

  3. Discounts are non-transferable, non-exchangeable and have no cash value. 

  4. We are not responsible for the availability, quality or fulfilment of retailer offers. 

Liability

  1. To the fullest extent permitted by law, we accept no liability for any loss, damage or injury sustained by participants, except when caused by our negligence. 

  2. We are not responsible for any loss of or damage to personal belongings brought to the event.

  3. We shall not be liable for any indirect or consequential loss, including (but not limited to) loss of enjoyment, travel or accommodation costs, or loss of opportunity. 

  4. We accept no liability for any loss arising from circumstances beyond our reasonable control, including but not limited to adverse weather, public health incidents, or other force majeure events. 

  5. Nothing in these Terms shall limit or exclude our liability for: 

  • death or personal injury caused by our negligence; 

  • fraud or fraudulent misrepresentation; or 

  • any other liability that cannot be excluded by law. 

General

  1. Participation in the Event is for personal, charitable and recreational purposes only. Participants must not use the Event for commercial purposes without prior written consent. 

  2. We may amend these Terms from time to time where necessary. The latest version will be made available prior to the Event. 

  3. If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force. 

Terms

These terms and conditions (“Terms”) apply to your participation in the Red Shoe Walk (the “Event”), organised by Sheffield Hospitals Charity (registered charity number 1169762) (“we”, “us”, “our”). 

By registering for or taking part in the Event, you agree to be bound by these Terms.
